Subject: Approval of a Contract Renewal with Sports for Life for the Instruction
of (RFP Camps.and 24-48)Pickleball and Tennis Classes

Recommended Action:
Staff recommends that the City Council authorize the City Manager to execute a contract
renewal with Sports for Life (424 Ashland Place, Highland Park, IL 60035) for the instruction
of tennis and pickleball classes and camps for both youth and adults. The agreement period
will run from January 1, 2026, through December 31, 2026. This is the first of two (2) optional
one-year renewals. The purchase order shall not exceed $122,500.
Funding Source:
Revenue from program registrations is deposited into the General Fund Account, Chandler-
Newberger Center Business Unit 130.30.3035.53565, and instructional expenses are paid
from $600,000 Chandler-Newberger Business Unit 130.30.3035.62505, which has a
budgeted allocation. Compensation for the vendor is based on the following amount of
revenue collected:

Camps and Classes 70% 30%
For 2026, staff projects $176,000 in revenue and approximately $122,500 in expenses. For
2025, revenue for Sports For Life camps and classes was approximately $160,000, and
expenses were $111,800.

Summary:
On September 19, 2024, the City issued a Request for Proposals (RFP 24-48) for tennis
instruction services through Demandstar and Pioneer Press. The RFP closed on October 8,

2024. While the City received two proposals, one was disqualified due to an incomplete
submission, leaving Sports for Life as the sole qualifying proposal. City Council approved a
contract for the period of January 1, 2025, through December 31, 2025, with a mutual option
to renew for two additional one-year terms through 2027.
