Our office has been located in Evanston for the past 35 years, and our families have been grateful users and patrons of the Library, including taking our children there on a regular basis This connection to libraries extends to our professional lives as well. My daughter serves as the Lead Archivist for the Boston Public Library, and my father-in-law was an Acquisitions Librarian. Additionally, we have done work for the American Library Association. We feel a strong commitment to the success of public libraries and are passionate about contributing to their continued growth and relevance in the community. Your mission to be the heart of a diverse community, promoting the development of independent, self-confident, and literate citizens, resonates deeply with us. Branding and Logo Update July 25, 20242Evanston Public Library Doc ID: 3512006a13e6d47e9baf71a5416e90cb58bf24f4 Project Overview The Evanston Public Library is seeking to update its logo and branding to align with its evolving mission, vision, and strategic goals. This project includes the creation of a new visual identity and a comprehensive visual style guide to ensure consistency across all library materials. The updated branding is expected to be completed by November 2024, in conjunction with the launch of a new website in December 2024. Organizational Background The Evanston Public Library serves nearly 40,000 cardholders, circulates over one million titles annually, and offers more than 1,000 programs each year. The library’s mission is to foster independent, self-confident, and literate citizens, while its vision is to engage all residents in achieving their personal aspirations through a diverse range of programs and resources. Under new leadership, the library is currently undergoing a strategic planning process to address funding challenges and expand its technological offerings, including digital materials and makerspace initiatives. The library is also committed to community engagement and social justice. Current Identity Assessment The current logo is recognized and has both vertical and horizontal versions. However, it uses too many colors, making it expensive to print and difficult to reproduce in black and white. There is a consensus among stakeholders that while the logo is familiar, it no longer fully represents the library’s contemporary goals and diverse community offerings. Additionally, there is consideration regarding the presence of books in the logo, as the library wants to highlight its broader technological and educational services beyond just books. Objectives for the New Branding The primary objectives for the new branding include: • Modernization: Creating a logo and visual identity that reflect the library’s forward-thinking and innovative approach. • Versatility: Ensuring the new logo is versatile, cost-effective for printing, and easily adaptable to various formats and materials. • Inclusivity: Developing a brand identity that resonates with all community members, showcasing the library as an inclusive and welcoming space. • Consistency: Establishing a visual style guide to maintain brand consistency across all platforms and materials. Project Scope and Deliverables The scope of this project includes: • Logo Update: Redesigning the library’s logo to be available in both vector and raster formats, in color and black and white versions. • Color Palette and Typefaces: Developing a simplified color scheme and typeface selection. • Visual Style Guide: Creating guidelines to ensure consistent branding across all materials as well as a toolkit for the library to use to enable easy execution of a variety of printed and digital visual materials for programs and events. • Website Visual Assets: Designing 3-6 visual assets for use on the new website (as in examples cited in RFP). We agree that a simpler brand approach is ideal and that it should uniquely represent Evanston Public Library, its features and benefits, as well as its mission and its values. Our team would approach the project in the following way: Initial Meeting: We would start with an initial meeting with you and your team to understand your vision and expectations in detail. Investigation and Analysis: We would investigate other public library logos, analyzing what makes each successful. This research will inform our approach to your logo and branding update. Dual Approach: Understanding the need for a brand that reflects all aspects of public libraries as you have summarized, we see the benefit of approaching the refresh in two ways: 1. As a refresh of the existing logo, taking into consideration all of your well-thought-out criteria and critique. 2. Developing fresh new concepts to offer entirely new ideas. 1 2 Brand Architecture & Family Look We will extend the brand into elements of brand architecture, including Evanston Public Library’s various programs and services. We will then create a family look for materials based on the selected brandmark; 3-4 collateral pieces (cover & typical spread), samples of 2-3 digital marketing assets, and/or the website home page and secondary page will be selected to use in the family look. Additional budget will be required to execute any final art for marketing pieces with the new brand identity. Brand Concept Development Through creative ideation, NeigerDesign will explore many concepts and ultimately present a range of refresh and new concepts to Evanston Public Library. Based on Evanston Public Library’s feedback, ND will continue to refine the solution through three rounds of revisions. Evanston Public Library will select a final brand solution to be used moving forward to subsequent phases. Logo Kits & Brand Standards Logo Kits including every variation of the logo (both horizontal and vertical, positive and reverse) in all file formats will be prepared. A comprehensive brand style guide will be created and include all brand treatments, fonts, color palette, and basic formats. To help assure your satisfaction, this briefly summarizes our billing procedures. The fees NeigerDesign charges are derived from three sources: 1. Time NeigerDesign computes its job estimates based on anticipated hours it will require to complete a specific project. A minimum charge of $250 applies to any project. This minimum charge also applies to bill-at-actual agreements. When additional services beyond the original scope of the project are requested, additional hours will be billed at their appropriate rate. Additional design services are billed at a design services rate of $200 per hour. If alterations are made after proof three, they will be billed at a production services rate of $180 per hour. NeigerDesign will keep the client informed when any request for services is beyond the scope of the original proposal. 2. Outside Charges and Reimbursable Expenses NeigerDesign bills all outside expenses at actual cost + 25% mark-up for handling. This includes but is not limited to photography, illustration, printing, and deliveries. 3. Internal Expenses such as Faxes, Photocopies, and Laser Proofs Charges for these materials from in-house equipment have been standardized. There is no mark-up for these charges. Billing Method/Terms To begin work, we require either (A) a purchase order or (B) a signed proposal, plus a down payment check for one-third of the lower total estimate which in this case is $7,201.00 (1/3 of $21,605.00). The balance will be billed in phase installments as client approves completion of the phase. If, however, at any time during the project the costs appear as though they will exceed the original estimate because additional services have been requested beyond the scope of this proposal, the client will be notified with a “Client Alts” form, which must be signed and faxed back to us. This signifies client approval of the additional charges, and no further work will be done on the project before this form is returned to NeigerDesign. At this point, the client also has the option to refuse the additional charges for the assignment, but work on the project will cease and all fees and expenses incurred to date will be billed to the client as payable in full. Payment must remain current for NeigerDesign to proceed with the project. Any job that remains inactive for more than 30 days will be billed as due and payable in full. All invoices are due and payable Net 30 days. Invoices that are not paid in full under Net 30 terms will be subject to a 1.5% service charge per month on any unpaid balance. Client Responsibilities The client organization shall provide full information regarding Evanston Public Library’s requirements for the project. The client organization shall designate a project contact authorized to act on their behalf with respect to the project. The client organization and the project contact shall examine documents, render decisions and, in general, act on all matters pertaining to the project promptly, to avoid unreasonable delay in the progress of NeigerDesign’s services. Upon receipt of this signed agreement NeigerDesign will issue an invoice for a down payment of $7,201.00 which will be due immediately. See Billing Methods/Terms above for explanation of down payment. By signing, I agree to allow NeigerDesign to use materials from this project for their promotional efforts. I also state that I have read and agree with the attached Professional Standards of Practice. * All foreseeable administrative expenses have been included in the estimates for each section of the project. If, at any time during the project, the nature or the scope of the project should change or deviate from the costs that are agreed upon by both Evanston Public Library and ND, ND will inform Evanston Public Library as to what additional costs might be incurred. Evanston Public Library will then have the option to approve or deny the fees before additional work is performed. This proposal does not include any travel time or expenses. Subsequent calls should be part of a billable assignment, unless both parties agree otherwise. Speculative Work - Client organizations should not ask for work to be done “on speculation” — i.e., to have the assignment contingent on approval of the work. Speculative work is subject to widespread abuse, increases prices and is otherwise unprofessional. Estimates & Proposals - When sufficient information is provided, creative firms are expected to prepare a written estimate or proposal of assignment schedule, costs and terms and conditions. When sufficient detailed information is not provided, it is the obligation of the creative firm to say so. If information is unavailable, pricing should be based on an hourly labor rate with frequent reviews of time expended. No assignment should be started without a signed acceptance of the estimate or proposal, purchase order authorization or a pre-payment for services. Billing - The client organization has the right to expect that the price on an estimate or proposal, plus additional expenses and taxes, will be the invoiced price unless otherwise appended, verbally or in writing, before invoicing. Confidentiality - The client organization should expect that any information or material provided will be treated confidentially, and that all reasonable efforts will be taken to safeguard it. If requested, the creative firm should willingly sign a nondisclosure agreement. Submissions - It is the responsibility of the creative firm to recommend what, in its professional opinion, is the best way to meet the client’s objectives. Similarly, it is its responsibility to follow the direction, input, criticisms, and comments of the client organization closely. Ownership - The final output of the creative firm becomes, after payment, the property of the client organization except in the case of photography or illustration, or where otherwise indicated. However, all preparatory materials (sketches, concepts not utilized, artwork, mechanical files, computer files, etc.) remain the property of the creative firm. Approvals - It is the sole responsibility of the client organization to review all material before production and attest to its accuracy. Non Use - In accordance with accepted professional services practice, the client organization is financially obligated for all work done, whether or not it is utilized. In the event of dissatisfaction, the creative firm should resign at the earliest possible date and make an effort to find another firm to continue. Prior to starting her own design and marketing firm, Carol served as Vice President and Creative Director for Slavin Associates, a full service communications and design company. Prior experience includes working at various branding, package and industrial design firms in Chicago and Boston. Her experience includes a wide range of design and marketing disciplines, including strategic development and media planning, brand/identity development, website design, publication design, direct mail, advertising, exhibit design, package design and signage. Carol attended the University of Cincinnati and The School of the Art Institute of Chicago, where she earned a Bachelor of Fine Arts in Graphic Design. Carol has won a variety of design and marketing awards. Carol has served on the Board of Directors of Anixter Center, Lekotek, The Advisory Board of Companies That Care. Carol is a member of The Association Forum, AIGA, CASE, BMA, ASAE, and The Evanston Chamber of Commerce. Jonathan Amen Associate Creative Director Self-described as a “logical deviant,” Jonathan applies problem solving and reason to any and every strategic initiative he undertakes, before applying his 30+ years of design experience to a client’s marketing challenge. Inspired by the opportunity to merge strategy with creativity, Jonathan has led and produced creative solutions for clients across many sectors, including healthcare, technology, retail, architecture, broadcast and professional services, among others. After graduating magna cum laude with a BFA from Kent State University’s Visual Communication Design program, Jonathan polished his design and art director leadership skills at branding and marketing agencies on the East Coast before making the Midwest his home. Since then, Jonathan has served as a senior creative lead on assignments ranging from corporate identity, brand development, brand standards, collateral systems and annual reports, to advertising, packaging, signage, web and digital media for institutional, corporate and boutique clients. NeigerDesign welcomed Jonathan to the team in 2017. Molly Kettler Office Manager As office manager, Molly combines her passion for the arts with her extensive experience in accounting and human resource administration. She keeps NeigerDesign’s finances on track and ensures that the office runs smoothly. Molly’s role includes proofreading copy and analyzing project budgets. Her previous experience includes office management and accounting roles at Zen Wealth Management Group, Insight Securities, and First Presbyterian Church. Molly holds two Bachelor of Arts degrees with honors: one in History from Northeastern Illinois University and the other in Linguistics from the State University of New York at Buffalo. She joined NeigerDesign in 2022. Jim Hutchison Designer Jim started honing his art talents at The Rhode Island School of Design, before fine-tuning them further at The School of the Art Institute of Chicago, graduating with a Bachelor of Fine Arts. His deep and broad 30+ years of “visual thinking” in integrated marketing, brand positioning and print design include 15 years as the Manager of Creative Services at the Blue Cross and Blue Shield Association. Jim’s project management skills have guided creative design solutions on both sides of the communication fence—on the agency side, as well as in the nonprofit/trade association worlds of the American Medical Association and Blue Cross and Blue Shield Association. Jim is a member of AIGA and has been a member of the NeigerDesign team since 2012. His expertise in HTML/CSS, MySql, PHP and Flash help bring our concepts to life. John held previous positions which include Lead Designer and Operations Manager for Evolving Art/Evolving Communications. John’s specialties include website design and programming, multi-media design, animation, illustration and collateral design. His experience in project management is helpful given the complex nature of the projects at NeigerDesign. John earned a Bachelor of Fine Arts from The Illinois Institute of Art. John has been a member of the NeigerDesign team since 2007. “None of us is as smart as all of us.”—Ken Blanchard Jessie Blaisdell Digital Marketing Strategist As a digital marketer, Jessie has found her niche in creative problem solving, research, and analytics. She applies critical thinking to design and the production of captivating content for social media, curated blogs, and email campaigns — leveraging SEO and SMO strategies to optimize the client organization’s online presence and messaging. Jessie puts her HubSpot certification in Inbound Marketing to work as she engages consumers and B2B customers through strategic planning and campaign marketing. Jessie is a proud graduate of Loyola University Chicago and has a Bachelor’s Degree in Advertising and Public Relations, as well as a minor in Psychology. Debbie Render Copywriter, Marketing Strategist Debbie applies her creative skills and marketing experience with corporations and nonprofit organizations to help clients define and achieve their communications and marketing objectives. Whether Debbie is developing brand concepts and messaging with impact or writing focused, engaging content, she brings insight and depth of experience to each project. Prior to beginning her full-time freelance work, Debbie held various marketing communication positions at Weiser Minkus Walek, First Capital Financial Corporation and Prudential Insurance Company. She received her Bachelor of Science in Journalism from Northwestern University’s Medill School of Journalism. Debbie has worked with NeigerDesign for over 25 years. Her clients have included Anixter Center, which provides services and support for people with disabilities and mental health needs, and Tsad Kadima, an Israeli non-profit that supports children and young adults with cerebral palsy and other motor disabilities. Grady Coyle Front-end Web Developer Grady is our favorite computer science enthusiast, always pleasant and happy to help! He graduated with a Computer Science Degree from DePaul University in Chicago with a concentration in Software Development. He enjoys working in Web Development/Maintenance, Digital Marketing, Database Development/Maintenance, and SEO-focused content creation. Grady is a key member of our digital marketing team with expertise in digital marketing, social media strategy and execution and utilizing the HubSpot marketing stack. to drive inbound marketing results.
